How Do I Use Edulink One Forms and Clubs for Trips?

Edulink One’s functionality can organise every phase of an educational visit. Forms can be used to gather parent permission, meal data, for example, for Pupil Premium students who require lunch provided by the school, as well as activity choices and important information, such as emergency contacts. Clubs can be used to assign members to an education visit and register them during the trip. It is also able to send out emails to parents in bulk, allowing you to provide them with key information before and during the trip.

To organise a form, go to the Forms functionality in Edulink One and select New.

Ensure your form has a name, due date and availability date, then you can customise it with more information, choices and text.

Next, add respondents and click ‘Done’ when finished. Save your form before exiting.

To see responses from parents, select View on the current form.

You can export the responses to a form and email non-responders, allowing them to reply.

Creating a ‘Club’ for your Educational Visit

Once you have all of your responses, go to Clubs and create a ‘club’ for the educational visit without bookable learners. You will add members directly to the club once created.

Provide leaders and a brief description of the club for the trip as a placeholder. Then, click ‘Next’.

If you would like one group registration per teacher, only include one teacher as the leader and repeat this process for each teacher supervising a group.

Add your registration sessions. In the example below, there is a register for morning and afternoon before boarding the bus. Click ‘Done’ when you have added your registration sessions.

To add members to the trip, select the ‘club’ in your list, in this case the ‘Globe Trip’ and go to members.

Only add learners in members, not in Edit. Members are automatically enrolled in the club (trip), whereas if you add the learners in edit, they can choose to join a club, which isn’t what you want as they have already been granted permission.

Select the students that are attending the trip. If you are splitting the members up into groups, select only the members you want for the teacher assigned as the leader. Click ‘update’ when you are finished.

Additionally, you can message parents regarding the trip directly from the club details page, export attendance data, and register the group for each session created.

The registers are standalone and don’t write back to your MIS. If you need the attendance data for attendance, export the data from the club details.
