Initially, ensure you have a list of the students’ preferred options for clubs. This can be achieved by creating a form that offers several choices, allowing students to select their preferred options. The form can be exported to view the options chosen, allowing the clubs to be assigned on a rotation.

Select ‘choice’ for each option you would like learners to select. You will need to add the same clubs you have in choice one, unless you have different options for the spring term or the summer term that will be added to the selection. For example, you might only offer athletics or swimming in the summer term.

Next, select the respondents of the form. This would usually be parents to allow them the opportunity to discuss the options with their children. You can filter this by year group, so if you are choosing lower school, you might only select Year 7 and Year 8.

Creating Your Club
When creating clubs for a carousel, use club membership rather than a ‘join a club’ method. The reason for this is that a pupil has already indicated their preferences via the form, so adding them to the clubs directly ensures they are members of that club until you unsubscribe them for their next round.
When creating the club, skip the bookable learners section. You will add the members after you create it.

Next, name your club, add its capacity, location, and describe it for the members. Lastly, add your club leaders by selecting the ‘Leaders’ button and choosing the staff members running it. Then, click Next.

Schedule the sessions for the club and click ‘Done’. This can be done half termly, termly or for longer, depending on your needs. You can swap members as needed, so you can schedule all of the sessions and do this if you prefer.

Once you have this set up, go to your clubs and click on the club to view it. In this window, you can edit the club (but do not add bookable learners here), delete it, take a club register, export club attendance and also message parents.
To add your club members, go to the Members section and select the edit button.

Select the club members (you can use the filters to help narrow the search) and then update.

The selected members will automatically be joined to the club.
When you need to change club members, repeat the ‘edit members’ process, removing those you no longer need and adding the latest members before updating. This will update your list and registers to the latest version.
You will need to edit the membership of all clubs to move the learners around to the next club they have selected. This is how you would effectively ‘carousel’ the activities. You need to repeat this process every time there is a scheduled club shift.
